Setting up the option to add new tasks in multiple projects containing the same steps

Hello Community,

I'm looking for workarounds from those of you who have a large number of projects within a folder that have the same tasks and are looking to create the next task of the project with the completion of the previous task. The AI assistant tells me the only option is to create a rule for each project (and thus presumably a rule for every task creation I want to make). I'm not adverse to making a hundred rules by duplicating if need be, but I'm wondering if anyone has a workaround that does this for them more efficiently.

@Kristy Schaan Could you apply a rule to projects in a particular folder that triggers on project status change and creates a specific type of subtask? (i.e. for the project status "Create Task 3," the third type of subtask would be created leveraging blueprints and/or custom item types.)

I do something similar by using custom item type task and trigger the creation of a new task based on custom status.
In this way you can create 1 rule for all different project.
Make it sense for you?

Hi Ali,

Thanks for the suggestion. I don't think that will work because many of my projects are needing an update to a task or a project status when a subitem changes as opposed to the other way around.

I think we are talking about two different things, but let me provide a little additional information.

I have the following 20 some projects in a folder and they all follow the same steps so the tasks are the same and need the same automation rules. The tasks are custom item types as well. I want the completion of task A to result in the creation of Task B but I have to make an individual rule for each task creation as putting the rule in the folder with all the projects results in either the creation of Task B for all the projects when I want to only create it for the project I am working in OR it creates the new task at the bottom of the folder and not in the project I want it to be created in, based on how I word the locations in the rule. Any thoughts?

Project 2.

Task A (same title, workflow, process as project 1 has, but related to project 2)

Task B (same title, workflow, process as project 1 has, but related to project 2)

Hi @Kristy Schaan,
have you considered using APIs or Wrike Integrate?
With current automations, to create a task within the same project, you need to use subtasks, where you aren't asked to define a specific location.

Here's an alternative you might consider:

1- In the project, you have only 1 task, and you have a status for each task you need to create.
2- Task A is completed.
3- Create task B.

If you had an automation with:

Trigger: all tasks in the project are completed.
And if: Project Status: Task A.
Action 1: move Project Status to Task B.
Action 2: create a sub-item in project Task B.

You can create a rule to move from Task B to Task C:

Trigger: all tasks in the project are completed.
And if: Project Status: Task B.
Action 1: move Project Status to Task C.
Action 2: create a sub-item in project Task C.

And so on.

One rule for each task to be created, for infinite projects.
