How to Use Wrike’s Automation Rules to Reduce Manual Work

One of my favorite features in Wrike is Automation Rules. Here’s a quick “how to” that’s saved me hours:

• Go to your space settings → select Automation.

• Create a rule: When status changes to “In Progress” → Assign to [Team Member].

• Add notifications or tag other projects as needed.

This way, as soon as a task is updated, Wrike handles the assignment and alerts automatically.
Has anyone here combined Automation Rules with Wrike’s AI summaries? I’m curious how you’re making the most of both.

One of my favorite Wrike automations is designed to reduce manual work and ensure project statuses stay up to date. When all tasks (subitems) within a project are marked as completed, the automation automatically updates the overall project status to “Completed.” This eliminates the need for someone to manually close out the project, saving time and reducing the risk of oversight.

Automation Rule Settings:

• Scope: Applies to all projects across the entire space (Note: If you use custom item types, you may need to create this rule separately for each type.)

• Trigger: When all subitems are marked as “Completed”

• Action: Change the parent item’s status to “Completed”

This simple automation helps maintain clean project tracking, improves reporting accuracy, and reinforces accountability—especially when managing multiple projects across teams.
