Creating logbook using request form

So I want to implement a tool requisition system to maintain records of the tools that have been checked out from the inventory. I am trying to use request forms but it creates a task every time anyone submits the form. I want to be able to just make an entry anytime someone requests for tools from the inventory. Similar to what they have in google forms where all the responses can be collected in an excel file for me to go through it. Is there something similar in Wrike?

Hi @Jaykumar Lokwani not that I can think of - the basis of Wrike are its items: tasks, projects, and folders. From request forms, it would be the creation of a task or project.

There may be some Wrike <> Excel integration that you can explore, but again it would likely require and depend on the creation of a work item.

Your Excel is basically a spreadsheet, which you can achieve in Wrike Table view. I would recommend creating one project or folder for the collection of your responses and leverage the form to add one task (line item) each time it's filled out. You can then manipulate Table view to act like your spreadsheet - it can even be exported!

If you truly need it to go to Excel, like I mentioned there are some integrations, however for your needs it might be a paid integration.

@Jaykumar Lokwani - The request form will always create a task (that's the designed purpose), but tasks don't need to only be tasks. Using custom item types, you could call the created task an "event". So when someone submits the form to check out the item, wrike will create an "event" with a status of "checked out", and when they return it, someone changes the status to "checked in".

I use Wrike as a log of customer surveys, which is similar to what your asking. I have the request form create a custom item type and then set the status to closed so no further action is required and it's just a log of events. If you look at this with the table view, it's similar to an excel table.

I think this might just work for me. I would assume this is better than keeping a logbook on excel? I am not sure how much my colleagues would like to do it this way. Its hard to convince people to use tech for the conventional tasks. But thank you for your idea. I plan to learn more about Wrike for my learning.

@Jaykumar Lokwani - Change management is a struggle for everyone. How will this solution help the user? Why do they want to change?

Asking people to change just because it's "better" is always a difficult request. Helping people see the (1) vision, the (2) urgency, and the (3) benefits of change, they'll be more willing to work with you. Maybe this change will help them communicate more easily, or reduce the number of emails by sending automated reports, or will create a live data to eliminate status updates completely, etc.
