This week, we’re spotlighting the Digital Asset Management template, created by none other than our Community member, @Pietro Poli!
The Digital Asset Management template helps teams organize and streamline all types of digital content, from technical documentation and memos to interview notes and instructions. With preconfigured fields and workflows, it simplifies the intake process for new assets and keeps everything structured and easy to access. This template helps keep information up to date, reduces duplication, and provides a clear system for managing knowledge across your organization.

Folders
1.Folder: How-To Guide
This folder contains four tasks that provide an overview of the workspace, offer in-depth information, and help you understand how to navigate and use this template effectively.
The workspace is designed to keep all digital assets, useful resources, and customer-related documentation organized and easy to access through dashboards and reports. It is divided into two main sections: Folder - Tools & Useful Links and Folder - Customers.
2.Folder: Tools & Useful Links
This folder is populated only through the [DAM] Asset Submission Form and serves as a central place to store resources that are not customer-specific.
You can find this form in your Space settings under Request Forms if you’d like to edit it, or open it by clicking the “+” icon in the top-right corner of your screen, selecting Request, and searching for the [DAM] Asset Submission Form.
The folder can include links, tools, PDF guides, notes, and other resources containing useful procedures or instructions. All submitted items are automatically created with the status “Draft” and are reviewed before being updated to “Active.”
3.Folder: Customers
This folder is used to store customer-related documentation in a structured way by customer and year. Each customer has a main folder, with subfolders for each year, such as 2025 or 2024, to keep content organized by period. Within these yearly folders, Customer Documents are stored and can be tagged by type, such as Notes, Interviews, Technical Documentation, Memos, or other project-specific categories. This structure makes it easy to find and navigate customer documentation by customer, year, or document type.
We hope this template overview was helpful. This template can be especially useful for teams and departments that manage large volumes of documentation and digital resources, such as Operations, Customer Success, Professional Services, IT, Knowledge Management, and Enablement teams.
