TL;DR: This week’s Template Tuesdays spotlight features the Project Scoping Whiteboard template designed to establish a structured, collaborative workspace for aligning service delivery teams and clients before execution begins. This template helps mitigate scope creep and accelerate time-to-value by guiding teams through an active discovery process focused on true business outcomes.
Hey Community 👋
Welcome back to Template Tuesdays! On Tuesdays, we spotlight a powerful template from our library, give you a quick overview of its core features, and show you exactly how to start using it right away ✔️
We’ve had a great run with our Request Form templates, and now we’re excited to kick off a brand-new series showcasing Wrike Whiteboard templates! These interactive, visual frameworks give your team an expansive canvas to brainstorm, map out strategies, and collaborate seamlessly before turning ideas into actionable Wrike items.
This week, we’re starting off with a critical project initiation tool: the Project Scoping Whiteboard template! 🚀
This template centralizes key scoping details (like clear definitions of what is in or out of scope, project dependencies, and business justifications) so your team and clients stay aligned on goals from day one.
What’s Inside This Template?
- Collaborative Canvas: A pre-formatted Wrike Whiteboard visual space built for real-time team and client discovery sessions.
- Collective Hub Section: Dedicated zones to organize project assets, reference documentation, and foundational project parameters.
- Data & Scope Areas: Pre-built sections to embed KPIs, OKRs, charts, and application focus details.
- Guided Scoping Sections: Built-in areas covering meeting introductions, agendas, primary objectives, and overall project vision.
💡 Installation Tip: You can also find this template directly using this LINK. From there, it can be used to create a brand-new space or added directly into an existing one. For a step-by-step guide on installing it into a pre-existing space, check out this article. Plus, thanks to a recent Wrike Labs release, you can now map template configurations (such as Custom Fields) directly to your existing space setup during installation to avoid creating duplicates!
Overview
Once you install the template, navigate to the Tools section in your left-hand menu to find the pre-added Wrike Whiteboard titled Project Scoping.
Clicking to open it reveals a ready-to-use visual canvas pre-populated with organized collaboration zones designed to guide your discovery conversations from start to finish.
Let’s Take a Closer Look
1. The Collective Hub (Left Side)
The left side of the whiteboard acts as your project's foundational reference center, broken down into key visual sections:
- Resource & File Hub: Drop in relevant project files, brand guides, or reference docs.
- Data & Scope: Insert project KPIs, OKRs, performance charts, target metrics, and live dashboard widgets.
- Core Parameters: Utilize sections dedicated to Application Focus, Team Input, and Roadmap & Expectations.
- Share Dashboard Widgets: You can embed live Wrike charts and dashboard widgets directly onto the board, share specific sections with internal or external stakeholders, and convert sticky notes or ideas into actionable Wrike tasks with assignees and due dates.
2. The Project Scoping Engine (Right Side)
The right side of the canvas guides the active discovery workshop, providing visual blocks for:
- Introduction & Agenda: Align participants on session goals and timeframes.
- Objectives & Vision: Define core business drivers, desired outcomes, and overall project direction.
- Scope Definitions: Clarify In-Scope vs. Out-of-Scope deliverables and identify potential project dependencies upfront.
Where to Use This Board (Real-World Examples)
This template is versatile and can be adapted across several client-facing and internal scenarios:
- Professional Services & Agencies: Kick off new client engagements by mapping out deliverables, identifying risks, and agreeing on scope limits before signing off on statements of work.
- IT & Systems Implementations: Align technical leads and business sponsors on system requirements, integrations, and application focus areas.
- Internal Product & Operations Launches: Bring cross-functional stakeholders together to define OKRs, clarify dependencies, and establish realistic roadmaps.
Customize the Board for Your Needs
You can adjust this whiteboard framework using these customization options:
- Link Dynamic Wrike Widgets: Embed live reports, workload views, or project charts directly into the Data & Scope section for real-time reporting during meetings.
- Tailor Workshop Sticky Notes: Pre-add color-coded sticky notes for interactive client exercises (such as red for Out-Of-Scope items or green for Must-Have deliverables).
- Convert Ideas to Work Items: Use Wrike's native whiteboard controls to turn finalized scoping sticky notes directly into real Wrike tasks within your project space.
We hope this spotlight helps your team establish a clear, interactive visual scoping process for all upcoming initiatives!
