TL;DR: This week’s Template Tuesdays covers the Project Retrospective Whiteboard template. Designed for Project Portfolio Management (PPM) environments, this workspace helps teams centralize project context, run structured reflections (Start, Stop, Keep Doing), and map out actionable follow-ups for continuous improvement.
Hey Community 👋
Welcome back to Template Tuesdays!
This week we’re highlighting the Project Retrospective Whiteboard template, built to give teams a clear, collaborative canvas for post-project reviews and continuous process optimization.
Key Features
- Centralized Project Context: Dedicated areas to keep project backlogs, roadmaps, and reference documentation visible during review.
- Structured Reflection Canvas: Pre-built sticky note zones to categorize feedback into Start Doing, Stop Doing, and Keep Doing.
- Actionable Follow-Through: A summary and action plan area to map out clear next steps and ensure accountability.
💡 Installation: Access this template directly via this LINK. You can create it in a new space or install it into an existing space using our step-by-step guide. Plus, thanks to a recent Wrike Labs release, you can now map template configurations (such as Custom Fields) directly to your existing space setup during installation to avoid creating duplicates!
Whiteboard Structure
The whiteboard is divided into two primary sections:
1. Collective Hub (Left Section)
Gathers essential project context before reflection begins:
- Existing Projects Backlog: Embed live Wrike widgets to review completed or ongoing backlog tasks.
- Roadmap & Expectations: Pull in Wrike widgets showing project timelines and key targets.
- Product / Reference Documents: Drag and drop final deliverables, post-mortem reports, or project specs directly onto the canvas.
2. Retrospective & Action Workspace (Right Section)
Guides the team through interactive feedback and next steps:
- Start Doing: Identify new ideas, processes, or tools to introduce in future projects.
- Stop Doing: Call out bottlenecks, inefficient workflows, or practices that hindered progress.
- Keep Doing: Highlight successful strategies, strong collaboration habits, and wins to repeat.
- Action Plan & Summary: Synthesize feedback into clear, actionable next steps to drive accountability.
Practical Applications
- Post-Project De-briefs: Review completed initiatives across portfolio teams to capture key learnings.
- Sprint & Cycle Retrospectives: Hold recurring team check-ins at the end of delivery cycles to optimize workflows.
- Process Alignment Sessions: Evaluate cross-functional handoffs and identify operational gaps between teams.
Operational Tips
- Convert Retro Notes to Action Items: Turn sticky notes from the Action Plan section directly into assignable Wrike tasks with due dates.
- Keep Data Connected: Link dynamic Wrike widgets in the hub so project performance data stays up to date during your session.
