Keeping track of @mentions

Hi everyone,

I'm interested to know how others keep track of tasks/projects they are @mentioned in. This is a question I get asked a lot by our users. It becomes an issue if the task or project is one that they are not an assignee on but have been @mentioned for feedback or FYI. Team members sometimes lose track of @mentions as you can only scroll back in your inbox so far. A possible solution I have offered is to star the task or follow the project and add these widgets to their personal dashboard to keep track of them.

Interested to know if others have encountered this and any other ideas on how to manage it?

I would’ve recommended both of the solutions you already proposed. Additionally, one method I personally use is creating a folder in my personal space where I tag tasks or projects I want to keep tabs on. I remove them once they’re no longer relevant.

I also use a custom field in my personal space for notes, which allows me to include context on why an item is there. The table view makes it much easier to display this field now!

A nice perk of saving these items to a folder is that I can pin the folder, making it easily accessible from the left panel whenever I want to review them.

your question targets quite an important issue. As you already pointed out, you can't see every @mention in your inbox, it will be cleansed automatically if the message is older than 30 days.

So the inbox was never meant to be used as a to do list. @mentioning is a method to inform other wrike members, but not to delegate tasks.

If someone wants to keep an eye on projects or tasks of other assignees, I'd say dashboards are the best tool. To track all relevant tasks where I was @mentioned, I'd suggest using a personal folder and tag all items there. The big advantage of this solution is that you can easily remove the tag without interfering anything if you're done with that task.

But if someone asks you to to something by @mentioning you, and you can't do it immediately, I strongly recommend creating a subtask assigned to you, which is the best way to track your own todos!

Thanks @Kelsey Rudolph and @Florian Kislich for your suggestions. The option of tagging into a personal folder is great. I agree that creating a subtask would be ideal if and often I think the @mention is a part of a subtask i.e. provide feedback but I guess it depends on how certain users use Wrike. I have some team members who are all over it and keep track of things on dashboards etc but others rely on their inbox which I know is not ideal. It's something I am working on when I meet with users - getting them set up correctly. Thanks for the help!
