🚀 Business Requirement
We are looking for improved handling of email content when using the “Update via Email” feature in Wrike, specifically around automatic attachments.
- 📎 Automatic Removal of Email Signature Attachments:
- When users update tasks via email, Wrike currently captures all attachments, including:
- Email signatures (logos, icons, banners)
- Embedded images (social icons, disclaimers)
- We need the ability to:
- 🚫 Automatically ignore/remove signature-based attachments
- ⚙️ Configure rules to distinguish between intentional attachments vs signature images
- 🧠 Smart Filtering / Validation Rules:
- Introduce logic or settings to:
- Detect common signature patterns (small images, repeated assets, known formats)
- Allow only relevant attachments to be added to tasks
- Ideally, provide admin-level controls to:
- Enable/disable this behavior
- Define filtering conditions
📉 Impact
The current behavior is creating unnecessary clutter and inefficiencies:
- 🗂️ Attachment Noise & Clutter:
- Every email update adds multiple irrelevant images to tasks
- Tasks quickly become overloaded with non-essential files
- 🔍 Reduced Usability:
- Important documents and files are harder to find
- Users waste time filtering through irrelevant attachments
- 📦 Storage & Performance Concerns:
- Repeated signature images increase storage usage across projects
- Impacts overall workspace cleanliness and scalability
- 😓 Poor User Experience:
- Users are not intentionally uploading these files
- Creates confusion and reduces trust in the “update by email” workflow
- ⚡ Breakdown in Workflow Efficiency:
- Teams relying on email updates (a key collaboration method) experience friction
- Reduces adoption of this feature due to cluttered outcomes
✅ Conclusion
Adding intelligent filtering for email signature attachments would significantly improve Wrike’s email integration experience.
These enhancements would:
- 🧹 Keep tasks clean and free from unnecessary attachments
- ⏱️ Save time by reducing manual cleanup efforts
- 📊 Improve content visibility and usability within tasks
- 🎯 Enhance the overall user experience for email-based collaboration
- 🤖 Align with modern expectations of smart, automated workflows
Overall, this feature would make the “Update via Email” functionality far more efficient, scalable, and user-friendly for teams that rely heavily on email-driven updates.
Please, let us know if you need any additional information. We would be more than happy to help you.
Cheers,
Sambit
