If you've ever thought, "I know that task is somewhere in Wrike," this post is for you. Wrike's workspace search is one of the most powerful tools at your fingertips, and learning how to use it early will save you a ton of time.

What Can You Search For?
Wrike search covers a lot of ground. From one place, you can find:
How to Search in Wrike
- Click the Search icon in the left sidebar to open the search box.
- Keyboard shortcut: Press Cmd + K (Mac) or Ctrl + K (Windows) to open search instantly from anywhere in your workspace, even if the sidebar is closed.
- Type a name, keyword, or ID number.
- As you type, Wrike shows results grouped by category (Tasks, Projects & Folders, Comments, Files, etc.).
- Click on the item you need to open it directly.
- If you don't see what you're looking for right away, click Show more under any category to expand the results.
- To see the full list of matching tasks, click the Search option or press Enter. This opens a Table view of all matching results where you can add columns, sort, and filter.
 
How to Search Within a Specific Location
Wrike searches your entire workspace by default. But if you want to narrow results to a specific space, folder, or project:
- First, navigate to the space, folder, or project you want to search within.
- Open the search box and start typing your keyword.
- You'll see tabs appear below the search field, such as "In [current folder/project]" or "In [current space]".
- Click the relevant tab to limit results to that location only.
Real-World Example
Let's say you're a marketing manager and you remember creating a task called "Q3 Campaign Brief" a few weeks ago, but you can't remember which project it's in.
- Press Ctrl + K (Windows) or Cmd + K (Mac).
- Type Q3 Campaign.
- Scan the results. You spot it under the "Tasks" category, tagged to the "Marketing Campaigns" project.
- Click it. Done. You're right where you need to be.
Good to Know
- Recent tasks: When you click the search icon without typing anything, Wrike shows your recently opened tasks. Click More recent tasks to see a longer list sorted by your latest views.
- Suggested shortcuts: If you type terms like "Timesheets," "Blueprints," or "Request forms" into search, Wrike will suggest direct links to those areas of your workspace.
- Search results are customizable: When you press Enter to see full results, they open in a Table view format. You can rearrange columns, add filters, and even export results to Excel.
- Right-click trick: In the quick search dropdown, right-click any item to copy its link or open it in a new tab.
- Search commands: Wrike supports special commands to refine your search. For example,
title: upgrade searches only item titles, and folder: Backlog finds tasks in a specific folder. We'll cover these in a dedicated post. - People search: Only Regular Users, Admins, and Owners can search for account members by name or email. External Users, Collaborators, Contributors, and Viewers don't have this option.
- You can only find what's shared with you. If an item isn't shared with you, it won't appear in search results.
