Use case: When onboarding a new client, I often rebuild the same internal Space structure from scratch — custom item types, forms, workflows, custom fields, folder/project structures, automation rules — because each client has their own separate Wrike account. Community Templates aren't a fit here, since these Spaces are internal agency assets, not something meant for public sharing.

What would help:

• Export a full Space (structure, custom item types, workflows, custom fields, forms, automations) as a package
• Import that package into a different account, ideally with the option to remap custom fields/workflows to existing ones or create new

This would save significant setup time on every new client implementation and let us maintain a standardized "starter kit" Space that we can deploy consistently, without recreating configuration manually each time.

This template includes a task-type Custom Item Type called License. This item type is designed to help you track and manage all licenses across both suppliers and customers. Each individual software license request should be created as a new item using this type.

2. Automatic Custom Field Mapping

There are pre-added single-select, currency, dropdown, and formula custom fields such as Renew, Amount, Days Left, Vendor, and Customer. When a requester submits the form, their answers map directly into these custom fields so your team gets structured contract data at a glance.

3. Workflows & Status Lifecycle

This template includes two workflows to manage work items:

Default Workflow: Standard workflow used for general tasks from start to finish. Account admins can edit statuses as needed.

License Status Workflow: Purpose-built to cater to license invoicing stages, featuring statuses such as To be Invoiced, Invoiced, To be Completed, and Cancelled.

4. Inside the Request Form Structure

When you open the request form settings, you can see how the intake pipeline connects:

Response Settings (Left): When a new request is submitted, Wrike automatically creates a work item using the License Custom Item Type. The status is set to To be Completed, and the item is saved directly into the Licenses Vault folder. You can further configure default actions for incoming submissions, set the initial item status, select the destination folder, or assign team members.

Form Builder Questions (Right): Questions capture key details including License Name, Vendor, Customer, Validity Start Date, Validity End Date, License Cost, Assignee, and Renewal preferences. Answers are automatically mapped straight into the relevant Custom Fields. You can add, edit, or reorder questions to match your team's specific procurement requirements.

When you install the template, you will see two primary folders:

• How to use: Contains template’s documentation and workflow setup instructions.
• Licenses Vault: The central repository where active license items are stored.

To review or edit the configuration of your space, click the ⚙️ icon near the Space overview button in the sidebar:

• Request Form: Review how parameters like license name, vendor, customer, and validity dates are collected.
• Custom Fields: Examine fields including 💰 Amount, 💼 Vendor, 🪙 Customer, ☑️ Renew, and the calculated 🔜 Days Left formula field.
• Custom Item Types: Inspect the item definitions for License (main records) and Invoice Activity (administrative subtasks).
• Workflows: Familiarize yourself with the workflow stages: To be Invoiced, Invoiced, To be Completed, and Cancelled.

Let’s Take a Closer Look 👀

This template relies on structured intake, calculated triggers, and automated task routing to manage license cycles:

1. Centralized License Intake

New requests enter the space through the New License Request form. Upon submission, Wrike creates a task in the Licenses Vault folder using the License Custom Item Type and maps variables like vendor names, contract terms, and costs directly into Custom Fields.

2. Time-Based Expiration & Invoicing Automations

The template uses the formula field to trigger time-based automation rules as expiration dates approach:

• 20-Day Alert: When 20 days remain before expiration, an automated comment mentions the Assignee to review contract status.5-Day Invoicing Trigger: If the ☑️ Renew field is set to "Yes", an automation triggers 5 days before expiration. It leaves a comment and creates an Invoice Activity subtask (generated via blueprint) scheduled across a 4-day execution window. If ☑️ Renew is set to "No", subtask creation is skipped.Invoiced Duplication Prompt: When a license status is updated to Invoiced, an automated notification prompts the author and assignee to duplicate the item for the next renewal cycle, update the validity dates, and set the status back to To be Invoiced.

3. Operational Dashboards & Financial Analytics

You can track administrative workloads and spending using two pre-configured dashboards:

• Licenses Overview Dashboard: Tracks operational performance with widgets including Status by License (bar chart by vendor), Vendor & Customer Distribution (treemap visualization), Administrative Tasks (pending invoicing list), and Licenses That Need Attention (priority due-date table).
• Licenses Financial Dashboard: Focuses on monetary figures, showing Total License Value due by month, Value by Vendor, Value by Customer, and Value by Assignee.

4. Licenses Calendar

The Licenses Calendar provides a visual schedule of contract expirations. You can switch between views, such as Licenses to check or All Licenses with entries based on status to identify upcoming deadlines.

Customize the Space for Your Needs

You can adapt this workspace using these configuration options:

• Pre-assign Invoicing Subtasks: Edit the License Activity Blueprint to set default assignees (or adjust the 5-day automation rule) so invoicing subtasks route directly to your administrative team.
• Expand Workflow Rules: Add operational workflow statuses such as Under Legal Review or Security Audit Pending.
• Integrate External Systems: Use Wrike Integrate to connect completed invoicing statuses directly with external accounting software.

Share With Your Team 👥

To start using the space across your department:

1. Share the Request Form link with team leads and procurement personnel who submit software requests.
2. Grant Folder access to IT managers and administrators handling task execution.

We’re excited to introduce a new Labs release that makes installing templates into existing Spaces smoother and cleaner: Configurations Mapping!

When you add a template to an existing Space, the template may include configurations that already exist in your workspace. Without mapping, this can lead to duplicate configurations, fragmented data, and extra cleanup after installation.

With Configurations Mapping, you can decide which configurations from the template should be added as new, and which should be matched to the ones that already exist in your Space or account.

For this first Labs release, Configurations Mapping supports Custom Fields. Support for Workflows and Custom Item Types will be added shortly.

How to Use Configurations Mapping 🔮

1. Start Installing a Template into an Existing Space

Choose the template you want to install and select an existing Space as the destination.

When choosing the installation process, select Review and choose.

2. Review Configurations from the Template

After selecting Review and choose, you’ll be taken to a mapping step where you can review the configurations used in the template.

In this release, you’ll see the list of Custom Fields included in the template. For each Custom Field you can see:

• Name
• Field Type

You can also hover over a field to preview more details.

3. Choose How Each Custom Field Should Be Installed

For every Custom Field in the template, you can choose one of two options:

• Add as new
  The Custom Field from the template will be installed as a new field.
• Match to…
  Select an existing Custom Field from the target Space or account to use instead.
  

How It Works 👥

• Only Space admins can use Configurations Mapping for their Spaces. When installing a template into an existing Space, Space admins can select Review and choose and decide how Custom Fields from the template should be handled.
  
• Matching is type-based. You’ll only see compatible fields as mapping options. For example, a Single-select field can only be matched to another Single-select field, and a Currency field can only be matched to another Currency field.
  
• Matched fields are reused instead of duplicated. If a Custom Field from the template is matched to an existing Custom Field, the original field from the template won’t be installed. All item references from the template will be remapped to the existing field you selected.

This logic ensures you get the complete solution from the template while keeping it aligned with the structure of your Space.

For example, if the template includes an AI Agent with an action that uses Custom Fields, you’ll get that AI Agent set up with your existing matched Custom Fields, not with newly created Custom Fields from the template.

The heart of this template is the Expansion Project Blueprint. When you launch a new initiative, you don't start from scratch; you use this Blueprint to automatically populate specialized Custom Item Types (CITs) like Workstream 00 - Project Management and Workstream 02 - Procurement Machines. This ensures that every project folder whether in "Projects" or "Reporting" is structured identically from day one.

From there, you can utilize the pre-built Blueprints to spin up recurring project structures instantly. The template leverages Custom Item Types and Custom Fields designed specifically for marketing deliverables, ensuring you track exactly what matters.

The standout feature here is the "Rushed" custom field. If a request is marked as Rushed, it is automatically added to the "Rushed Projects" folder.

To cut down on the administrative burden for creative leads, this template includes built-in automation rules. For example, projects automatically route to their respective folders when statuses are updated. This instantly moves a project to the Completed folder when its status changes to “Completed”, or moves it to the In Progress folder when the status changes to "Planned and Assigned" or "Requires Clarification."

Within each project folder, you’ll find sample tasks that include the custom fields Timing and Importance Quadrant. Depending on your workflow and team structure, you can replace these with your actual tasks and use the same custom fields to better understand the time required and the priority level of each task.

Using the Timing field helps you apply focused work intervals, making it easier to stay concentrated, manage your energy, and avoid burnout. The Importance Quadrant field helps you categorize tasks based on urgency and impact, so you can quickly identify what matters most and prioritize your work more effectively. Together, these elements create a structured system that supports better time management, improved organization, and stronger day-to-day productivity.

There’s also a pre-built automation included in this template. When a new task/item type is created and remains unassigned, the automation rule automatically assigns it to the item author.

TL;DR: Templates have gotten a major upgrade. You can now install templates into existing Spaces, not just create new ones, making it easier to test and adopt templates without adding extra Spaces. Recent improvements also include broader configuration support, Wrike Whiteboards in templates, custom Space naming during installation, and the option to exclude tasks when creating a template. Together, these updates make templates more complete, flexible, and easier to use at scale.

Over the last several updates, we’ve been steadily expanding what teams can do with solution and space configuration templates - making it easier to standardize setup, reduce manual work, and roll out ready-to-use workspaces that better reflect how your teams actually operate.

And what’s especially worth calling out here: many of these improvements came directly from customer requests, feedback shared with us.

What We’ve Recently Added 👇

In recent releases, we introduced several important improvements to Space & Solution Templates, including:

✅ Broader support for key capabilities

Templates now support Wider Coverage of Space Configurations

Previously, some important configuration details were not carried over when creating and sharing templates. Now, Templates support an even broader set of elements, helping teams preserve more of the structure, planning context, and setup details that matter.

The following items are now supported in Templates:

• AI Agents
• Effort field
• Planned fees
• Planned cost
• Budget
• Project Billing Type
• Custom field descriptions
• Workflow descriptions
• Workflow transitions
• The order of items in views is preserved in the template

Wrike Whiteboards in Templates

With support for Wrike Whiteboards in space Templates, it’s now possible to reuse whiteboard configurations across newly created spaces.

• When you save a space as a Template, any included Wrike Whiteboard is added to that Template.
• When the Template is used to create a new space, the whiteboard is created in the new space.
• References to Wrike items on the whiteboard are preserved and automatically re-linked to the newly created items.

This makes it easier to standardize collaborative planning workflows by packaging Wrike Whiteboards directly into your Templates.

✅ Space naming customization during installation

During template installation, users can customize the name of the new Space before it is created. New Spaces no longer need to be renamed after installation.

✅ More control over what gets included in a template

Exclude Tasks When Creating Space Templates

• When creating a template, users can choose to exclude all tasks.
• All tasks and task-type work items, including items created from task-type Custom Item Types, are excluded from the template.
• Space structure is preserved, including folders, projects, dashboards, workflows, custom fields, and other configurations.
• Task Blueprints are still included, so teams can begin creating work from predefined blueprints right after installing the template.

Add one or more templates to existing Spaces 🎉

• Try templates without adding extra Spaces
• Combine multiple templates to create a setup that fits your team’s needs
• Use templates more easily within different account setups
• Explore ideas while keeping work organized
• Move from testing to everyday use more smoothly

How it works

1. Click Use Template
2. Select the existing Space where the template should be installed
3. Complete the installation

Note: Users will only see Spaces where they are a Space Admin.All installed Tools, Content, and Databases will be placed into separate folders. This keeps template content isolated from the existing structure of the Space and makes it easier to review, use, or remove later if needed.

Installed configurations are easier to find 🔎

• identify what came from a template
• group configurations created from the same template
• review installed elements more confidently

Example scenario

For example, the Marketing team might want to add the Digital Asset Management template and nest it within their existing Space.

Before this update, they would have needed to create a completely new Space just to try that template.

Now, a Space Admin can simply:

• open the template
• click Use Template
• choose their existing Marketing Space
• install the template directly there

The installed content stays organized in separate folders, and any configurations added by the template can be easily identified later using How created.

This makes it easier to test, adopt, and clean up templates without disrupting the team’s existing workspace.

Why This Matters

Space and Solution Templates are becoming an even more powerful way to help teams get started faster with less setup effort while giving admins more flexibility in how they roll out standardized ways of working.

Taken together, these recent improvements help by:

• Making templates more complete
• Allowing for more granular configurations
• Making setup more flexible
• Reducing friction during installation
• Helping teams scale repeatable ways of working with greater consistency

This is especially valuable for teams that regularly launch new Spaces for departments, clients, functions, or repeatable workflows. Instead of rebuilding each Space from scratch, they can start with a consistent core setup that reflects their standard structure, processes, and ways of working. From there, they can add smaller, purpose-built templates to tailor each Space for specific regional, departmental, or local needs.

This approach helps teams strike the right balance between consistency and flexibility. The overall foundation stays aligned across rollouts, making it easier to scale and govern, while individual teams still have the ability to add the workflows, tools, or configurations that are most relevant to their needs. The result is an environment that feels structured, relevant, and ready to use from day one.

Overview

After you have created a template, in the space, you will find the following folders:

• Active Clients: A folder where you can add your active clients.
• Content Team 
• Development Team
• Operations Team
• SEO Team

Each of the above contains 3 sub folders: 01_New Tickets, 02_Tickets in progress, and 03_Completed tickets.

The 01_New Tickets folder is used to receive incoming tickets submitted through the Request Form. When the form is completed and a department is selected, the ticket is automatically added to the corresponding 01_New Tickets folder based on the department chosen in the form.

Now let’s take a look at the Request Form 👀

This template includes a request form for submitting new tickets, allowing users to:

• Select the relevant department
• Describe their needs
• Outline any issues they are facing
• Provide additional details before submitting the request

Once submitted, the new ticket is automatically placed in the 01_New Tickets folder of the department selected in the form.

Included Automation Rules 👇

This template also includes 6 pre-built automation rules, mainly designed to move created tickets to the appropriate folder when their status changes.

For example, when an SEO request ticket’s status is changed to “In Progress,” the ticket is automatically moved from the 01_New Tickets folder to the 02_Tickets in Progress folder.

You can also find dashboards for each department under the Tools section. These dashboards provide an overview of incoming tickets, critical tickets, and more.

Click the ⚙️ icon next to the Space overview button in the sidebar to review the template’s configuration, including:

• Request Form: Understand how new work requests are submitted and processed
• Custom Fields: Review the key details used to describe each request
• Custom Item Types: See the different types of work or SEO packages that can be requested
• Workflows: Familiarize yourself with the stages each request moves through from start to finish

• Adding Articles to the Knowledge Base - provides a step-by-step guide for creating and publishing new Knowledge Base articles in Wrike, including how to add content, attachments, links to related articles, and sub-articles. It also covers best practices for formatting, updating article status, and linking finished articles back to the department index so content stays organized and easy to find.
  
  
• Building a New Department KB Folder - explains how to set up a new department-specific Knowledge Base folder in Wrike by creating and naming a folder for the relevant team, setting Table view as the default, and preparing it to house that department’s index and articles. It also directs users to the index setup best practices to complete the structure consistently.
  
  
• General Best Practices - includes best practices for organizing department knowledge, setting permissions, standardizing documentation, improving searchability, encouraging knowledge sharing, assigning ownership, maintaining article accuracy, supporting cross-department collaboration, and integrating the Knowledge Base into onboarding and training.
  
  
• Index Instructions/Best Practices - covers how to create and maintain a department Knowledge Base index, format sections and linked articles, remove obsolete references, and follow best practices for clear naming, alphabetical organization, and improved self-service navigation.

• Using Copilot to Query the KB - Explains how to use Wrike Copilot to query the Knowledge Base with natural language, either across All Knowledge Bases or within a specific department folder, and notes that Copilot only pulls from data stored in your account while returning answers with clickable source citations to relevant KB articles.

• Using Search to Query the KB - Describes how to use Wrike Search to query the Knowledge Base by narrowing the search to Everywhere, the current space, or the current project/folder, and explains that search results can be further refined using search commands to quickly filter information. 

You can use multiple search commands to quickly filter search results. You can also use several of them simultaneously, just make sure to separate each command with a space. Click here for more information.

Sample Department Knowledge Base

Refer to this folder to view the sample department index, sample article, and sample sub-article.

Folder: zz_Obsolete Articles

Use this folder to store or move articles that are outdated or no longer actively maintained. As a best practice, apply statuses such as Current, Need Attention, and Obsolete to clearly indicate each article’s review state.

Included Automations

With this space template, you will find three pre-built automations: Add New Article, Add New Sub-article, and Move to Obsolete Folder.

• Add New Article Automation

When you change the status of an item to "Add New Article," the automation creates a sub-item using the Knowledge Base Article blueprint and sets the status of the newly created item to Index.

• Add New Sub-article

When the status of an item changes to "Add New Sub-Article," the automation creates a new sub-item using the Knowledge Base Sub-Article Blueprint and changes the status of the newly created item to Current.

• Move to Obsolete Folder

Helps move outdated or obsolete articles. When the status of an item changes to "Obsolete," the article is moved to the zz_Obsolete Articles folder, and a comment is added mentioning the assignees.

1.Folder: How-To Guide

This folder contains four tasks that provide an overview of the workspace, offer in-depth information, and help you understand how to navigate and use this template effectively.

The workspace is designed to keep all digital assets, useful resources, and customer-related documentation organized and easy to access through dashboards and reports. It is divided into two main sections: Folder - Tools & Useful Links and Folder - Customers.

2.Folder: Tools & Useful Links

This folder is populated only through the [DAM] Asset Submission Form and serves as a central place to store resources that are not customer-specific. 

You can find this form in your Space settings under Request Forms if you’d like to edit it, or open it by clicking the “+” icon in the top-right corner of your screen, selecting Request, and searching for the [DAM] Asset Submission Form.

The folder can include links, tools, PDF guides, notes, and other resources containing useful procedures or instructions. All submitted items are automatically created with the status “Draft” and are reviewed before being updated to “Active.”

3.Folder: Customers

This folder is used to store customer-related documentation in a structured way by customer and year. Each customer has a main folder, with subfolders for each year, such as 2025 or 2024, to keep content organized by period. Within these yearly folders, Customer Documents are stored and can be tagged by type, such as Notes, Interviews, Technical Documentation, Memos, or other project-specific categories. This structure makes it easy to find and navigate customer documentation by customer, year, or document type.
